Welcome to Flow AI. By accessing or using our website, dashboard, embeddable widget, and AI voice receptionist service (the "Service"), you agree to be bound by these Terms and Conditions ("Terms").

The Service is owned and operated by FLOWEDGE AI LTD ("we", "us", or "our"), a company registered in England and Wales with its registered office at 193 Cambridge Street, Aylesbury, Buckinghamshire, United Kingdom, HP20 1BQ.

1. Our Services

Flow AI is an AI-powered inbound voice receptionist platform for UK service businesses including garages, dental clinics, trades businesses, estate agents, and salons. We provide software that answers inbound telephone calls on behalf of subscribing businesses ("Tenants"), books appointments, handles enquiries, and stores call transcripts. We act as a technology provider — the relationship between the Tenant and their customers is directly between those parties.

2. User Accounts

To use the Service, you must register for an account. You agree to provide accurate, current, and complete information during registration and to keep it updated. You are responsible for safeguarding your password and for all activities that occur under your account.

3. Subscriptions and Payments

  • Plans: We offer tiered subscription plans (Starter, Pro, Enterprise) with included call minutes and overage rates as displayed on our pricing page.
  • Billing: Payments are processed through Stripe. Subscriptions are billed monthly in advance. Overage charges are billed at the end of each billing cycle.
  • Free Trial: New accounts receive a 14-day free trial. No credit card is required to start a trial. If you do not subscribe after the trial, your account will be deactivated.
  • Cancellation: You may cancel your subscription at any time via the billing page or Stripe Customer Portal. Access continues until the end of the current billing period.

4. AI Voice Calls and Recordings

  • All inbound calls handled by the AI receptionist are transcribed and stored in your dashboard.
  • You are responsible for informing your customers that calls may be answered by an AI assistant and that transcripts are recorded, in compliance with UK telecommunications regulations.
  • We do not listen to or review call recordings unless required for technical support at your request or to comply with legal obligations.

5. Phone Numbers

We may provision dedicated UK phone numbers for your business via our telephony provider (Twilio). These numbers remain the property of the platform. If you cancel your subscription, your phone number will be released after a 30-day grace period.

6. Embeddable Widget

We provide an embeddable JavaScript widget for your website. You are responsible for embedding the widget on websites you own or have authorisation to modify. The widget must not be modified, reverse-engineered, or distributed independently.

7. Prohibited Conduct

You agree not to:

  • Use the Service for any illegal purpose or in violation of any applicable law.
  • Use the AI receptionist for outbound cold calling, spam, or unsolicited marketing.
  • Attempt to bypass usage limits, subscription restrictions, or rate limiting.
  • Interfere with the operation or security of the Service.
  • Share your account credentials with third parties.

8. Limitation of Liability

To the maximum extent permitted by law, FLOWEDGE AI LTD shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues. Our total liability for any claim arising out of or relating to these Terms or the Service is limited to the amount paid by you to us in the 12 months preceding the claim.

We are not responsible for missed calls, failed bookings, or inaccurate information provided by the AI assistant. The AI operates within the configuration and data you provide.

9. Termination

We may terminate or suspend your account and access to the Service immediately, without prior notice or liability, if you breach these Terms or if your subscription payment fails.

10. Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes relating to these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
